Sunday evening, part 2 of 3. (See Part 1 to start at the beginning of this report.)

There were nominees and their guests and acceptors, in suits and fancy dresses, at the Sunday evening Hugo Nominees Reception. There were fans running the event all dressed up too. There were a few scruffy-looking fans as well, or rather, fans in ordinary clothes instead of duded up. I had to leave my Kristi Smart coat home, because I had too much in my luggage to add that, so I was just in long pants and an aloha shirt. I'll have duds suitable for wearing to the Hugo Awards next year, though! I wish I'd known about Kristi's vests in time to have obtained one for this trip; something to think about before the next out-of-town Worldcon we attend.

Last year's TAFF winner, [livejournal.com profile] jamesb introduced [livejournal.com profile] library_lynn and myself to his beautiful intended, Simoné Vanzyl. I believe James presented the James White award. This year's GUFF winners, Damien Warman and Juliette Woods were there, because they'd be presenting one of the awards. Likewise TAFF winner [livejournal.com profile] svtompkins and [livejournal.com profile] jerrykaufman were about.

After we'd done all of the award nominees, we snapped pictures of the fan fund winners, the various presenters, the emcees, and I think we got a shot of people who were there to accept awards for other people... I was milling through the crowd, taking random pictures, when [livejournal.com profile] frostfox asked me to take a picture of the Plokta Seven (the full Cabal, including [livejournal.com profile] flickgc) with her camera phone. I said sure, as long as I could take a picture of them in the same pose as well.

I saw Emma Taylor in the front foyer of the Armadillo, carrying a Yoda doll in a baby sling wearing pink sunglasses.

The Hugo base designer, Deb Kosiba, posed holding the sample Hugo Award. A number of people posed with it, or were photographed closely inspecting it, including [livejournal.com profile] flickgc and Naomi Fisher. Patrick Molloy held up their baby, Grace Keiko Eloise Molloy, to inspect it as well.

There was a seating section in the forward portion of the hall set aside for "Committee, Area Heads, Staff, Volunteers, Programme Participants, Friends of UK 05 and their Guests." I qualified on a number of counts (at least three) but ended up back in the Forth Room. We -- that is, [livejournal.com profile] library_lynn and I, and Sandra and Rincewind -- were sitting around, waiting for the room to be re-set for the Hugo Award Winners shoot. Including, waiting for the lights to arrive. (Eventually Lynn decided that she didn't want to stay up for the excitement, and headed back to the room.)

We called over to the Gopher Hole, and Laurel Lea Kelly came over to help us out. She was cheerful at the prospect of earning two more hours of gopher creait for just sitting around and skipping the Hugo Awards. The bunch of us sat while we waiting for [livejournal.com profile] testerscot and Nojay to bring back and set up the lights.

They returned with the lights, and laid out masking tape on the floor in front of the risers to mark off a line for the photographers to stand behind. I didn't think we'd get that many, so I lined up about four chairs behind the line. We also had our own chairs, we'd been sittiing on the sidelines near the lectern. We wanted the clamshell doors for the Forth room opened up, and eventually an Exhibition Centre guy came up -- and simply started pushing. They weren't electric, they weren't locked... and now we had the Forth room opening up onto the main foyer of the Armadillo.

Nojay went off on some errand, and left us watching the room to make sure it didn't blow away. We put five chairs on the stage, and another row of five in front of the stage, and decided the flood lights needed to be a bit further from the stage. In moving them, I managed to knock one over -- it gave off a flash, but it was still working when we put it back up. I hoped I didn't break anything; we set everything up and were ready to go. We figured we'd get about 17 people on the stage, so ten could sit and the other 7 could stand, closer together than the five seated in front of them.

I ducked backstage and took a few pictures in the dark, catching a few presenters waiting to go on stage and some of the backstage crew. Just as we knew we were nearing the end, Nojay and [livejournal.com profile] testerscot came back, blessed everything, and we saw the Port Authority crew come in the front door of the foyer with the "H" issue. It looked like they could use another gopher, so I asked Laurel to go help with that for a while, and I never saw her again. I hope Newszine signed off on her timesheet!

The the crowds came in. The winners filed in from the side doors, and everyone else poured in from the front. Ye ghods, what a crowd! I wish we'd done pre-event sign-ups... the post-Hugo photo sessions have been lightly attended in the past, I believe, back when it was done ad hoc on stage with terrible lighting.

People dragged chairs over, and made the lines longer. They extended them into a big semicircle, going around the sides, even past the floodlights. They added to the second row of chairs too. It was a mob scene. There were a lot of people in the room who weren't taking pictures of the group, and a Locus photographer who was trying to snap pictures of each winner as they came into the room and before they could sit down.

When all of the Hugo-holders were seated, plus the James White Award winner, we kept them there a while. I tried to line up a shot, and realized they weren't looking my way, so I asked them all for their attention. I helped up my hand and asked them to turn their heads to look at my hand, and to follow my hand as I walked around behind the crowd around to the other side. This way, all of the photographers could wait until they were looking the right direction, and snap a picture. A little while after that, I worked my way back to the lectern side, and Craig Miller called to me. -"Chaz, how do we turn this thing off?"- So I started counting loudly, "Five, Four, Three, Two, last chance to take a picture, One, thank you alll for coming!" Kevin gave an announcement at the end, explaining that the Hugo Nominees had invitations for the Hugo Nominees Party at the Hilton, and that their invitation would allow them to jump the line for the busses. I didn't get an invitation, so it didn't concern me... but I thought the way he explained it was crystal-clear the first time, and was surprised some of the people in the audience didn't get it and needed it explained to them.

While we were milling about, the Plokta cabal came up with another request while we still had the stage set up. [livejournal.com profile] frostfox had won for Fan Artist again, and Plokta had one for Fanzine again (and they'd given them two rockets for that one), so the seven of them wanted a nice group photo holding their three pointy shiny things. Someone was taking pictures using the chairs in front of the stage, so we rearranged three of the chairs on stage to be at an angle, facing one of the floodlights. I called out for "Allan!", not realizing he was already in position, and he got off several shots and I grabbed one.

Once the crowd had dispersed, we started striking our equipment. Kevin came back, he thanked us for a job well done, and we packed up the last of the materials from the room. We had to be out of the Armadillo by midnight, and we were well ahead of schedule -- it was about 22:30, I believe. There were still tech people dismantling their stuff, so we left them to their work.

And headed to the doubledecker sightseeing busses for the Hilton and the parties.

Just let me take minute to let you know what a ray of sunshine you have been over the last week or so! I have tremendously enjoyed, looked forward to, and eagerly sought your posts out every chance I have.
It's almost like Im there thanks to you and [livejournal.com profile] saycestsay, she providing the single gals travel adventure and you the Con/Smof/fanatic fan/friend/fen/true spirit/Documentor of all good things, and all around great guy angle. Bases are covered!
All I need to make my experience complete is to read John Hertz's Apa - L entries and have coffee with Mcquire (Xtian) at the Coral for a couple three hours...
Life really sucks here at the place where mt cats live and my stuff is stored but thanks to your con reports that have been dutifilly entered even at the risk of becoming a *regular* at "The Goat", I have survived and really extracted as much joy from reading them as is humanlly (sp?)possible. Thank you with a full heart! Thank you so much! ((hug))

So, there I was, hanging onto the stage-left photo-flood, when I see Chaz stand up on the podium 2ft away from me & yell "Allan!". This was quickly followed by Kevin announcing over the room mic "Chaz is looking for someone called Allan".
I felt like an Igor 8-)
Anyway, I got Chaz's attention, and got snapping.

There were, in fact, three rockets for Plokta, as well as Sue's.

Chaz, let me take another opportunity here to thank you for handling the photo areas at the Masquerade and Hugo Awards. I was very happy with how things turned out, and you deserve the credit for getting things organized.

In retrospect, we didn't handle the logistics of getting the Hugo Winners from their seats in the front of the Clyde Auditorium to the Forth Room as well as I would have liked. I was terrified that we were going to lose a nominee! As I was making the final announcements at the end of the Hugo Awards Ceremony, I had an idea of asking the audience on the ground floor to remain seated and allowing the Hugo Winners to exit, but decided not to try it, because none of our staff were set up to police it. Had we thought about it in advance, we could have done one of the following things:

(A) Plan to try and hold the ground-floor audience in place as the winners exited (giving them another applause apportunity).

(B) Plan to take the award winners out the back door of the Clyde and around the side of the building. This turns out to be the fastest way to get to the Forth Room when there are 1000 people trying to exit the auditorium.

In the end, it seems like it all worked out. I think we'll see a lot more and better photos of the Hugo winners this year, thanks to your organization.

Thank you! I think I announced it about five times during the Hugo Reception, and again during the Photo Opportunity, but I'm still not surprised that there were people who didn't get it. I probably should have also made an announcement about it in the Main Ceremony, so that the general membership would know to make way for the nominees/winners and would not have been surprised for it at the bus queues. As it was, I did not hear of any difficulties at the queues, so I guess everything worked out for the best.

As with everyting else in Interaction Events, a fine crew -- including you -- made for a fine event. I could not have asked for anything better than we got. Thank you!

Thanks so much for getting us to do that thing with the moving hand -- because we were indeed, all over the shoot otherwise.

If you (or anyone else) have some nice pics of the whole cabal plus glad rags plus pointies, can you email us with them please? All the ones I've seen so far look as if I'm out of my tree*.
