Sunday evening, the Hugo Nominees Reception is supposed to open at 18:00. And the floodlights, which Nojay and crew set up Sunday afternoon, have gone missing. As Allan MacBain (
testerscotI walked into the Forth room, at 18:00, to see a lectern where the floodlights had been, and them nowhere to be found... "Bloody Hell!!"; dozens of people running around and I was screaming inside!
We determined from Kevin Standlee that the lights had been set up in the room as late as 17:15, when he'd left it. The only people who had anything to do in that room since then were the exhibition centre's caterers. We grilled them, they didn't move them, and they said that they didn't see them in the room. I asked the security guards to review the tapes to see who had taken them out of the room, if it was one of our people or one of theirs. Their tapes were unhelpful... We got word eventually that the SECC people had found the lights, they were backstage where our people had set them up. I was suspicious, because I knew from last night that we had two pairs and they may have been looking at the wrong pair. (Idea for next time: tie a different coloured ribbon, or use a different colour of duct tape, on each piece of like equipment. Or number them.)
We eventually figured out that Alistair Cameron had them in his car. The SECC people had dismantled them and tucked them away in one of their storage areas, and one of our people had rescued them from the SECC's clutches and taken them out of the Armadillo. But by this time the Hugo Nominees Reception was in full swing.
We decided to forgo the lights, and just shooot them in the corner where we'd done the chairs in the morning. We didn't have any chairs set up, beause most categories would only have five nominees and we could just have them stand next to each other. Something that had worked well in the morning had been to put a "World Science Fiction Convention" sign, complete with White Star Federated Spaceways star, in front of the front row. For this event, we had one tacked to the wall behind the photo area. I think that next time we should have a set of signs, perhaps with a place on the wall to put them, for the photo shoots, that say "Worldcon Chairs", "Hugo Nominees", or "Hugo Winners" depending on the occasion. When I mentioned this to Christian McGuire, he put me in charge of making sure the Sign Shop department (i.e.
katt1028) knows about this need.
Sandra Battye, my earliest on-site volunteer, worked on getting us a list of Hugo nominees. She also helped Dave Langford, making sure that he could hear what he needed to hear, and that if he won someone would let him know he needed to go on stage.
There hadn't been many photographers for the Worldcon Chairs in the morning. For the Nominees, there was a big crowd in the room, but only a handful or two of photographers. One of the reasons I'd asked
testerscot to work with me, even though Sandra and Rincewind had already volunteered, is because I wanted to be sure there was someone with a good camera in addition to my crappy little one taking pictures. So Allan made himself useful, and again later in the evening, in addition to his tech setup help with Nojay; he gave me a cd with his photos the next day.
We had all of the nominees present for each category, and where they were willing to go on stage we put the people who were there accepting for absent winners. We skipped over the Dramatic Presentation category, because the only acceptor present for all of them was Craig Miller. (In hindsight, he says we should have taken a picture of just him, and then photoshopped him 5 or 10 times over.)
